Community Relations
A3 Hindhead Improvement
Community - Introduction
The philosophy of the A3 Team towards community relations, is one of 'honesty, openness and sensitivity for the culture and lifestyles of the communities we work in'. Our mission is to develop and nurture positive relationships with the communities in which we work, ensuring that stakeholders are listened to, informed and treated fairly.
We feel that, on any project that has an interface with the public, it is important to make sure that the local communities are regularly updated on progress and forthcoming works. Therefore we will provide many opportunities and avenues, throughout the duration of the project, for the public to voice their queries and concerns.
Community Relations Manager
All problems, concerns and enquiries that are communicated to the project team must be taken seriously and handled promptly. To act as a point of focus for all community liaison issues we have appointed a full time Community Relations Manager - Ian Whyte, who is based at our project office. He is an active part of the construction team: coordinating solutions for residents affected by the works; ensuring that issues are properly logged and actively resolved; informing members of the public, businesses and other interested parties including statutory groups and local councils of progress.

Visitor Centre
The site offices include a visitor centre area displaying posters, drawings, photographs and models of the scheme. The centre is open Monday-Saturdays 9.00am to 4.00pm
Staff will be available in the centre to answer questions on Tuesdays 10.00am-noon or Thursdays 2.00pm -4.00pm, subject to availability, or at other times by appointment.
Viewing Platform Locations
The north viewing point is accessed by following the signs from the National Trust Café car park. Cross the road at the car park exit and follow the signs with blue direction arrows. Please note it is a 20 minute walk away and in places the path is quite steep and although we are putting in wood chippings to make the path safer, it is still muddy in places. If BOAT 500 is closed please follow arrows for alternative route.

The south viewing point is in Tyndall's Wood and can be accessed from the A3 on a marked footpath just south of the Headley Road junction. Just follow the blue arrow direction signs. The viewing point is only 5 minute walk from the A3 on relatively flat terrain. There is no off road parking in the vicinity and visitors would be advised to either park at the National Trust Café car park or use the Local Council car Park just off the A287 Hindhead Road.

Newsletters
To keep local residents informed of progress and future planned activities we will be publishing regular newsletters, which will be distributed to local homes and businesses.
Letter Drops
Local residents and businesses will be notified of specific construction activities, which may potentially affect or disturb them, by carrying out targeted letter drops.
Exhibitions
We plan to hold one or two show of works exhibitions to keep the community informed of progress. Key staff from the contractor, designer and the Highways Agency will be on hand to answer questions about the scheme.
Considerate Constructors Scheme (CCS)
We have registered with the Considerate Constructors scheme and adhere to their code of practice, shown below.
Considerate - All work is to be carried out with positive consideration to the needs of traders and businesses, site personnel and visitors, and the general public. Special attention is to be given to the needs of those with sight, hearing and mobility difficulties.
Environment - Noise from construction operations and all other sources is to be kept to a minimum at all times. Efforts should be made to select and use local resources wherever possible. Attention should be paid to waste management and the avoidance of pollution. Recycling and the use of recycled materials is encouraged.
Cleanliness - The working site is to be kept clean and in good order at all times. Safety barriers, lights and warning signs are to be maintained in a clean and safe condition. Surplus materials and rubbish should not be allowed to accumulate on the site or spill over into the surroundings. Dirt and dust from construction operations should be kept to a minimum.
Good Neighbour - General information regarding the Scheme should be provided for all neighbours affected by the work. Full and regular communication with neighbours, including adjacent traders and businesses, regarding programming and site activities should be maintained from pre-start to completion.
Respectful - Respectable and safe standards of dress should be maintained at all times. Lewd or derogatory behaviour and language should not be tolerated under threat of severe disciplinary action. Pride in the management and appearance of the site and the surrounding environment is to be shown at all times. Operatives should be instructed in dealing with the general public.
Safe - Construction operations and site vehicle movements are to be carried out with care and consideration for the safety of site personnel, visitors and the general public. No building activity should be a security risk to others.
Responsible - Ensure that everyone associated with the site understands implements and complies with this code.
Accountable - The Considerate Constructors Scheme poster is to be displayed where clearly visible to the general public. A site's contact details should be obvious to anyone affected by its activities.
Schools Liaison
It is recognised that most construction sites hold a fascination for children, with this in mind, the Community Relations Officer and the site Health and Safety Advisor will visit all schools within the vicinity of the A3 Hindhead construction activities. The pupils will be informed about the dangers of entering construction sites and will be shown the sort of safety equipment worn on site and the reasons for it.
The pupils will be invited to design safety posters for the site, one of which will be professionally produced and displayed at various locations along the length of the project.
Prior to construction activities, all schools located in close proximity to the scheme will be invited to utilise the project and its expert personnel for any educational purposes they deem appropriate. Some local schools have taken advantage of this unique opportunity to assist their pupils with maths, geography, environmental studies and physics projects, utilising the expertise of our senior engineers, surveyors, laboratory staff and environmental managers.
Charity Events
The site team will aim to become involved with the local community through charity events.
